Attention Midwesterners and those willing to travel!

Carrie is leaving lovely Madison, WI, for grad school in AZ this summer, and needs a farewell gathering before she goes. This thread is to work out the details. I have volunteered to facilitate detail-working-out, but would appreciate a WI local stepping up and helping on things like hotels and such.

Since Madison has several Hatrackers, including Carrie, in residence, I'm going to list that as out default location unless someone has a really good reason it should be somewhere else.

The big initial question we need to decide on is when. Carrie needs to be in AZ in July, and the Davidson's have stated that they are busy all weekends in May. That makes June look awfully good to me.

Weekends in June are:

6/4 - 6/5
6/11 - 6/12
6/18 - 6/19
6/25 - 6/26

Carrie, you didn't say when in July you have to be down there, but I'm guessing you won't want to have the gathering too close to move date anyway. So let's start with June and see if we can find a date that works for everyone.

The weekend of 6/12 is dkw's ordination, so I will be in Iowa, and she and Bob obviously wouldn't be able to attend either. I don't know the rest of their calendars, but the rest of mine is open.

I've begun to realize why noone wants to go to Milwaukee. Why do Milwaukee when a little extra time and effort will take you to Chicago?

I'm going to veto the last weekend of June, as that's about when I'll be moving. Or at least packing and saying farewells to the family (Class starts 11 July). So subtracting the 12th, that leaves us with...

4/5 June

18/19 June.

As of right now, both of these work for me - I'll be graduated, of a legal drinking age, in Madison, and ready to meet people I probably should have met ages ago. [Smile]

Any preferences between those two weekends?

(And I feel strangely important - in all my time here, I've never had a thread about me started by someone else [Blushing] )

It definately is *not* the weekend of the 18th; we're looking at going earlier in the month. However, you probably shouldn't take my vote into consideration, since my going depends on getting a ride. I refuse to ride a bus to Madison while pregnant, no matter how much I love my fellow Hatrackers. [Wink]

I take everyone's vote into consideration, but I take mitigating factors into consideration, too. One of which is that I'd love to see you again! So we'll see what we can do. So far, though, rides from Indiana aren't looking good, as I'm guessing fugu and possibly Stray will be taking the train to Chicago again and hitching the rest of the way with AJ.

Jenny, I live in southern Indiana, but I could most probably make it to where you are (northern, right?). I'm about 2 hours from the southern Indianapolis area. Just let me know - chipping in for gas money will not be a problem. I'm just a big whiny baby about long trips by myself on the interstate. [Smile]

What is this mythical train in Bloomington of which people speak? I tried the Amtrak website to see if they had a station in Madison, but I couldn't find a station in Bloomington.

I think it's in Indianapolis, not Bloomington. But that's how fugu and Stray got to BobNDana Con, they took the train to Chicago and then rode with AJ the rest of the way.

Yeah, we'd have to make our own way to Indy, but we'd just bribe some trusting soul to drive us all up there (for a decent payment), then take the train to Chicago ($16 one way!), then hopefully ride with AJ the rest of the way [Smile]

Yep, we have to go to Indianapolis to catch the train. And now that DST has taken effect, we have to be there even earlier than last time--5:50 instead of 6:50, ugh. Hell, at that rate I might be able to get my husband to just stay up late, instead of get up early [Razz]

I may or may not have a functional car by that point, but as someone else said, at the rate gas prices are going up it'll probably be cheaper just to take the train and carpool with AJ, assuming she's willing.

Thanks for the info. I checked, and even if AJ doesn't have room for me, the fare would only be about $100 round-trip. So, between Jenny's offer if she's able to go, possibly riding with AJ from Chicago, or just taking the train all the way to Madison, it looks like I'm in as long as it isn't scheduled for early in the month.

I have comfortable room for 5 people besides myself, uncomfortable room for 6. So start tallying up the people that wish transportation from Chicago, and figure out if there is room for everyone.

Maybe I should put a "Hatrack Taxi" sign on my minivan.

Honestly, I loved the company on this last trip. My only regret was that I couldn't talk more to plaid, because even though the van has a great sound system the rear to front acoustics are horrible.

Space Opera, if you'd like to come to Bloomington the Thursday evening before, you're more than welcome to stay in my guest room so we can get going at the crack of dawn the next day (assuming we choose that schedule, that is). Depending on how things work out, I *might* even be able to swing down and pick you up, though I don't want to make any promises about that right now.

If last summer's any indication, the weather in June will be beautiful, so outside on the Terrace (of one of our student Unions on campus) is always fun and relaxing - and I'm 90% sure the Film committee shows outdoor movies weekend evenings. There are two Madison Mallards games that weekend, and I've been told that those are more fun than most MLB games. ::looks into calendars online:: Ooo, Fondy's having Greekfest... and Eagle River's hosting a lot of crap... aww. I think the "Cheese League" will be in session around the state, but that's for us football-crazy people.

That's about all I can think of off the top of my head, I'll see what I can come up with. It, like most things, will probably be heavily weather-dependent.

Chiming in. Either weekend works fine for me, as long as I can find transportation. I can probably borrow mom's car, but I won't know for sure until it gets closer. Worse case scenario, I'll take a train or a bus up to either AJ's or Julie/Dan's neck of the woods.

BotaLagyG, where would you be coming from? I don't know the answer to the train station question, although I'm sure if it's within Madison someone will be able to pick you up. But if you can get to one of the other "clumps" of people you might be able to ride along, and make the trip part of the fun!

BotaLadyG, I believe you would be taking an Amtrak bus, most likely VanGelder to Madison. There aren't any train stations at Union or Madison South. I'm sure someone could pick you up from either location.

I still have no idea when Tom's cousin's wedding is. That is the only thing we have planned for June, however, and we're not sure we're going yet, so I guess the 18/19 sounds good [Smile]

The closest Amtrak station (this is stupid, I know, but it's likely politics) is at Baraboo (Wisconsin Dells), I believe. About a 45 minute drive, and the place will drive you nuts if you aren't into the commercial theme park thing.

When I travel by train, I Van Galdar it from Madison back and forth to Chicago's Union Station (Amtrak). Cheap, easy, safe, comfortable, reliable.

Baraboo is, indeed, annoying, but I think I go through there on my way to Madison, so depending on the timing I might be able to pick you up. Or if AJ's car isn't full you could come in with the Chicago crowd.

ElJay, you would indeed go right past Baraboo on your way in. On the other hand, I would also be happy to drive out there to pick someone up.

I just got The Look from Dave once when he got stuck there for three hours (I couldn't get off a shift as fast as I thought, and he had to wait at the Dells). I think the Dells are probably great if you are planning to go there, though. Seems like a fun family thing.

I would be coming from Toledo. If I could hitch a ride from Chicago that would work out too because if I'm not mistaken all the trains that I looked at had stay-overs in Chicago anyways...

Edit: Ah, I think I just figured out why there are stay-overs... I come into Chicago on a train and go to Madison on a bus..(**insert dunce hat here**)

I recently worked a bar shift at the Woodfield. For compensation, they gave me a free night certificate to any hotel they already had laying around. We chose the Hilton Madison Monona Terrace. It was the only Madison-area hotel they had, and it certainly looked nice. We'll be using the certificate that weekend (if its available).

I heard back from Bob, and he and dkw are both traveling, so he can't make a firm call. But they might be moving 6/18. And of course he said to go with what was best for everyone else, and they'll make it if they can.

Reading back through the thread, Space Opera, you look to be the only one with potential problems on the 6/4 weekend... have you guys decided when your Disney vacation will be yet? If you won't be able to make 6/4, then I say we go with 6/18 and cross our fingers the Scopatzi will be able to make it, but if you'll be free the earlier weekend I wouldn't mind doing it then, if it works for everyone else.

We are leaving on the 3rd of June for our vacation. However, please don't change it for me if it's more convenient for everyone else to do the earlier date. I'd actually be willing to change our vacation week, but my kids are going on another vacation with my ex at the end of June, so we're pretty much locked into the beginning of the month so that they'll get a break between vacations. [Smile]

So I think that cements it to the weekend of the 18th! Let's talk plans and hotels...

I checked the hotel PC linked to, and it's about $160/night. That's a little rich for my blood, unless we're packing the rooms to capacity and beyond. Are we going to be enough people that we could get a group rate? I suppose I could check and see who's said they're probably coming... Locals, are any of you likely to stay at the hotel?

kat and rivka, you can just put in a notification alert for cheap tickets, you know. In fact, if it's cheaper to fly into Minneapolis, I bet I could do some vehicle bartering with one of my parents so I had room to drive us all to Madison, if more than one of you did so. (I doubt either of you would like to ride six hours in the back of my pick-up.)

If the tickets were FREE, I could not go that week. June is a very busy month for me, and that's the weekend right after school is over. Grading and such will be occupying the majority of my time.

Hmm...that's the weekend of my birthday. Maybe I can go if tickets are very, very, very cheap. *thinks*

I figure I can go on at least one, but maybe two trips this summer (Spain is going to be in October). There is a decent chance that I'll be going to Atlanta some time, but that's not certain.

My question is, is there going to be a Hatrack gathering to see Serenity? Because THAT I want to go to, and I will save my money for that trip and just weep the weekend of June.

Added: After checking things, I can't go. I'll just keep tossing out the bitter and wistful side comments, then. [Razz]

Stray, I am definately going to make it to Bloomington when Raia is there this summer (did she say July?) Since this is my 2nd cancellation, Hatrackers have permission to burn me at the stake if I can't make it. Seriously though, I might just plan my own Bloomington get-together. It's only a 90 minute drive, and my kiddos will be gone with my ex for almost 2 weeks this summer.

I'm fond of the $100/night range, myself. That way if people want to put four in a room it gets down to $25/night/each, which is manageable for most people, or if they prefer not to share beds they can go for two at $50/night.

It would also be nice to have a conference room, dependant on price. For that, I'd aim at attendees not having to spend more than around $10/each extra. If it's more than that, we'd probably be motivated to find someplace free to hang out, or just hang out in the rooms.

I could talk to the Woodfield in Madison (I used to work for the Woodfield in Milwaukee and know the Madison property is just as nice). I could use the Orbitz price of $85/night to get us that rate.

The reason this works is quite simple. If the desk clerk at the hotel refuses to match the price, the guest will then book it on Orbitz anyways. The guest pays $85, but, of that, the hotel will only get about $65 after Orbitz takes its commission. If you use internet rates for leverage, a lot of times you'll get the hotel to match the rate just so they can get the whole dollar amount, instead of paying someone else for commissions.

Of course, this is assuming the rooms are available. Orbitz does not check availability, ever. I'd have to call the hotel itself and get the exact numbers from the clerks there (I know the AGM personally).

Okay, I talked to Tracy, the sales manager over at the Woodfield, and she gave me a rate of $89 for one-room suites with two double-beds. The meeting room is $125 with a $25 setup fee. I didn't set anything in stone yet because I have no idea about anyone's interest.

Okay, here's the deal: I'm pretty firmly against meeting in a hotel. There's absolutely no need for it.

If people coming from a serious distance out of town want to crash in a place together, great. But I think it's excessive for us to try to line up a hotel for a going-away party when we have the entire city of Madison and all its perfectly good public places available to us.

For one thing, people might be intimidated by room costs. I know I'm perfectly willing to put up somebody at our place, if that's an issue.

Oh, just FYI. The one room suites also come with pullouts. They should easily sleep 3-6 (depending upon how comfortable you are sharing sleep space).

Tom -- there are about 12 people coming from out of town, depending on who is able to make it and who will cancel as we get closer. I still don't know what the heck we're going to do while we're there... I don't know the city, and to this point no locals have volunteered to organize.

If the locals think they can put us all up, that would be great. I'm cheap. But if not, I'd certainly rather we were staying together, and it's getting close enough that we need to do it.

So... about those perfectly good public places, Tom. What can we do while we're in town? [Smile]

Well, you can contact the hotel directly. I only talked to the Sales Manager, I didn't set anything in stone yet. I needed to talk to the SM because she handles the meeting spaces. I don't think we need the meeting room to be honest. As Tom said, there are plenty of places for us to hang out- we don't need to rent a meeting room.

They may give you some line about the one room, two double suites not being included in the Orbitz price. Just let them know that you were quoted a rate of $89 by Tracy, the Sales Manager. They should honor that. If you have any trouble, I'll call the hotel myself and smooth things over.

Whew! Glad I caught you mid-dial.

I'll be staying in downtown Madison. It looks like my hotel will be a block from the capitol (If I'm reading the map right).

Hotwire has a "Central Madison" hotel that has a 3.5 star rating for $77. That rating is pretty good, and there is a good chance that the room is actually at the Hilton, I just don't know if that is true.

Here's how Hotwire works: They don't give you the exact name of the hotel at the time you make your reservation. The reason being that they want you picking hotel rooms based upon price, not name. This way, lesser known, nice hotels have a chance to compete with the big chains simply by the value of staying at that hotel. The issue is that you have to take the hotel as is. The hotel will supply you with whatever room is available- so you may end up in a smoking room or a type of room you don't want (a single instead of a double), but in exchange, you get some outrageously low rates.

Here's an exerpt from Hotwire's website:

If you take that route, it is at your own risk, but could be rewarding. According to the Sales Manager at the Woodfield, there isn't anything going on in Madison that weekend, so the chances of getting lucky and getting a decent room are pretty high. It's up to you.

I think that staying downtown is probably a good idea. Then we'll be close to all of the cool stuff in Madison and we won't have to go quite as far once things break up at night. I am already staying downtown, I'm just trying to present viable options.

I know, Goody, Hotwire is very intimidating at first. However, a little bit of detective work really circumvents the whole process. If you can determine whether or not it will be a busy weekend, you can really get away with a lot. It's very rewarding if you're looking for nice accomodations at cheap prices. A lot of times, the description of amenities gives away the hotel, if you know the area even slightly (or know someone else who does).

When we moved out of an apartment 3 years ago, the ex screwed with my room-check system and we ended up leaving a couple dozen party games behind. Needless to say, I was quite upset...

Party games on State Street would be fun. The Olbrich Gardens are great, too, and I think our membership is enough to get y'all in for free -- which is especially nice since the new Rose Garden is opening on the 19th. There's good canoeing on Lake Wingra, with a very inexpensive boathouse. There's also a laser tag center on the west side of town, and an excellent game store on Odana. There's also a reasonably impressive and completely free zoo downtown on the lake.

Shopping along Willy/E. Johnson or the Monroe/Dudgeon area is nice, too.

Oh, that's right! It's "Feast with the Beasts," which is $5 admission (or $15/family) and features live music on two stages and a bunch of food vendors (which, sadly, are not donating their food; it costs extra to eat.) Figures. *laugh*

That said, there'll be jugglers and face painting and other family-friendly weirdness. I don't know how popular that'll be with this crowd, though.

I'm still open to the zoo, even at that price. We can always stop at the grocery store and pick up sandwich fixings and drinks, and pack a cooler, right? We always bring our cooler on road trips, I'll make sure we bring the wheelie cart too.

The event starts at noon on Saturday - and will have an interesting selection of Madison-area restaurant cuisine, though I am definitely not averse to bringing our own.

I'll probably pass on dancing because of the kids and the need to maintain at least semi-reasonable bedtimes, etc. And I think I'll let the experienced ones pick restaurants. =)

Though I'm sure you all realize this by now, I can't come. Over this and last month I realized that I couldn't really afford to go anywhere much further than work if I wanted to get enough money saved up to go to Japan.

So I'm sorry if it disappointed you all.. I wanted to have a fun time with you guys near my birthday, but I guess I just have to make sacrifices. A lot of sacrifices.

I got your email, and responded!

So everyone knows my plans... Sara has graciously offered me couch space and I've accepted, so fugu and I won't have to arm-wrestle for Tom & Christy's couch or anything. [Wink] I have to work on Friday and will be leaving straight from work. It's a 5 hour drive, so I'll be getting in relatively late. I don't know if PC and Goody reserved their rooms just for Saturday night and are planning on coming in Saturday morning or if there is anything going on Friday night, but I'll probably be just joining the party Saturday morning.

Has anyone heard from Vana and Lime lately? Or SO and JG? I know they had posted as possibles... I think I'll change the thread title again...

Unfortunately, we're not going to be able to make this one. We've got more than a full day on Saturday, and the likelihood that we would be able to make it up there with any energy left over is next to nil.

Have a good time for us - and someone drink our share of any alcohol that might be around. Congrats , Carrie! Sorry we couldn't make it.

I reserved for both Friday and Saturday. I took Friday off work. I'd rather take my time driving up and maybe track down a cross-stitch shop or two in the area than be frantic Saturday morning getting there in time. I wouldn't mind getting together somewhere Friday night with the caveat that it be something from which the kids and I can break away easily if Missy hits her limit.

I'm doing that on the way TO the hotel Friday afternoon. Gotta get my traveling stash!

I'm still debating on whether to bring the office laptop for computer access. I'd probably have to sign up for a new AOL account with the free introductory hours since I don't have a dial-up option already existing, and I'm not sure I want to deal with the hassle of cancelling the account at the end of the month. They can be SUCH pains in the butts.

I'll be on again tonight once I get home, and I'll make sure to check this thread one more time before we hit the road tomorrow. Current departure time is estimated for 10:00 am, roughly 3 hours on the road and a couple stops along the way, I figure we'll get to our hotel around 3:00. Tom and ElJay have both my cell phone number and that of my hotel; anyone else want them?

I've made no plans at all for Friday night. If we aren't going to do something as a group, I'd appreciate kid-friendly suggestions?

Okay, found Madison Children's Museum, and better yet, found out that they're ACM members, which means I can use my Chicago Children's Museum membership to get in free!

Also found a shop in Madison.. and travel from the museum to the shop will take us through campus.

Carrie? Wanna be silly and join the kids and I at the museum? They close at 4:00 on Friday, which is why we're doing the museum first, and I'm already adjusting our departure time to accomodate.

So it looks like our afternoon is hotel check-in - MCM - Stitchers Corner - and then whatever....?

Well, Farmer's Market starts at 8 - if not even earlier - but I don't know how much sleep anyone wants to get. I'll cast my vote for 9:30 or so. (This is the point where I make sure we're all still on the same page and going up there...) As for where to meet, I'd suggest at the top of State Street where there's the little road-divider-triangular thingy. But that's just an idea.

Goody and clan are getting ready to walk out the door... we have a couple stops along the way so I estimate our current arrival time at between 1 and 2. We're going to (try to) check into the hotel first, and then call Carrie to meet up at the children's museum.

For anyone who doesn't already know what I look like (which I think is everyone but TomD and Christy), look for the Chicago Bears hat. I figure, it's June, it's Wisconsin, I'm bound to stick out like a sore thumb wearing it!!!!

Well, as long as Carrie shows, the original intent remains intact. But I'll be honest: I kind of expected this. EnderCon taught me that, in general, the level of unrealistic enthusiasm about any gathering is inversely proportional to the actual percentage of people who show up. [Smile]

This is why I try to approach Hatrack gatherings as simple get-togethers, and not "cons" or large parties. A lot of us here are close enough to get together often, so there's no need to put any pressure on that kind of thing. I mean, heck, if you want to see Dan and Julie, just ask if you can help 'em move. *grin*

I was too drained by the time we finally got home to do any more than clear out almost 400 emails... course we took the scenic route home to avoid the tollway and made a few stops along the way, so we didn't get home until almost 8.

We all had a great time and really enjoyed meeting everyone! Missy can't decide what her favorite part of the weekend was, Heather says her favorite was winning at Apples to Apples {grin}.

By the way, Madisonites, you need to take care of our Hatrack chair at Zuzu!!! LOL

Jess and I both had a good time. We think Ella is pretty burnt out on gatherings and travel. Between our family trip to the Dells the weekend before and this gathering, she gets upset whenever we put her in her carseat and was literally in tears last night at my sister's place. I've never seen her cry like that before. It was very sad.

Still, I really liked the botanical gardens.
