Okay . . . I have a fairly nit-picky sort of question that I am treading lightly upon and hoped my fellow/ette jatraquero/a's could help with!

I recently accepted the honor/responsibility (don't get on me about the ///// people! It's been a looonnnnggg day) of being the volunteer recording secretary for a well-established 501c3 (non-profit) here locally.

I have done this type of work before, but it was quite some time ago -- and I know that boards can definitely flavor things, as can executive directors. [Wink]

That said . . .

When the recording secretary submits the minutes to the ED for distribution to said board members for review, does the ED (and/or her office assistant) have the discretion to make changes in those minutes PRIOR to the distribution?

I had been (perhaps mistakenly) under the impression that minutes were reviewed and then amended/approved at the following meeting.

*puzzled*

In 2 orgs w Robert's Rules that I'm in, one does type up the minutes from last time (the other just keeps them in handwritten form). In each case, the minutes must be approved at the next mtg.

Y'know . . . I think the way I can fix this (since it's a recurring issue) is to create my own distribution lists and e-mail 'em myself . . . which is problem #2 -- while I strive to get the minutes done in 4-5 days of the meeting (one month apart), they are barely being sent for review 1-2 days before the next meeting . . .

hmmmm.

I used to be the one to take minutes at staff meetings at my old job. If my boss wanted to "add something in" after the meeting, I just said, "Sure, boss!"

It wasn't like it was a secret something. I mean, after all, they'd get read at the next meeting anyway.

The clerical person at the office (whose job it really ought to have been to take the minutes), refused to make any changes, ever, because she "wasn't about to go to jail."

I'm telling you, the jails are overflowing with prisoners who have edited meeting minutes. It is a real problem in our country.
